AI for Medical Notes: Granular Prompt Configuration

This release delivers advanced customisation options for AI-generated Medical Notes. Clinicians and administrators now have fine-grained control over how AI behaves within supported medical note types.

Highlights:

  • Field-Specific Prompts: Define custom AI prompts for individual fields across SOAPER, SOTAP, GP, and custom templates.
  • Content Behaviour Settings: Choose whether AI should ignore, replace, append, or insert content only if the field is blank.
  • Tone and Output Instructions: Apply formatting styles (e.g. bullet points), set tone, or provide language-specific outputs.
  • Objective Prompt Linking: Subjective notes can now reference selected Objectives, producing clinically relevant AI content based on specific injury areas.
  • Fallback Prompts: Where custom prompts are not set, the system will default to standard configurations to preserve workflow consistency.

Also you can now download your AI merge fields to a word document to help copy and paste functionality into your letter templates.

Accounting and Commission Enhancements

  • NDIS Numbers on Invoices:
A new setting on Debtor/Insurer billing profiles allows you to specify whether the client’s NDIS number should appear on invoices.
  • Parent Commission Templates:
Create a master Commission Template and apply it across multiple child templates. Updates to rates or structures can now be made in bulk.
  • Journal Posting Validation:
Templates now require all amounts to either balance or equal zero before saving.
  • Invoice Clarity:
The Debtor ABN has been moved next to the Debtor name/address to reduce confusion with Vendor ABN details.

New Password Security Options

New administrative controls have been introduced to improve system access security.

Administrators can now configure:

  • Password Strength Options:
    • Legacy Security (default): Minimum 7 characters, with 1 capital and 1 number.
    • Enhanced Security: Minimum 10 characters, 1 capital, 1 number, and 1 special character.
  • Password History Tracking:
Prevent users from reusing recent passwords to reduce password cycling.

Settings are available via Admin, then System users configuration.

Medicare Update: Return Code 9783

Online Patient Claiming now includes support for Medicare return code 9783, which indicates that the claimant must update their bank account details with Services Australia.

As per Medicare policy, only 3-digit return codes will appear on the printed Statement of Claim. Return code 9783 will now display as a pop-up message within the system.

Outcome Measures Now Accessible in Medical Notes

Treatment outcome data can now be recorded directly within Medical Notes. These values are also visible and editable under Client, Condition then Outcomes configuration.

Office Suite Flexibility: LibreOffice Supported

Microsoft Office is no longer required for template merging. Generated documents can now be opened using alternative office programs such as LibreOffice.

Budget Expiry Date

It is now possible to apply an expiry date to Contract Budgets.  This is only applicable to either the Budget Group – Hours or Budget Group – Value type budgets.

Drag-and-Drop Email Attachments

Files can now be added to emails via drag-and-drop, removing the need to browse for files manually.

More features and fixes.

Although this article lists some of the key new features, there are still many more updates including new API End Points and updates.
